Teams Call History: 3,000 Records, Per-Line Tabs, and Where Admins Find Older Calls

  • By Team Clerk Chat

  • Published: October 27, 2026

Teams call history is about to get a lot longer. Microsoft’s Message Center post MC1485056, published October 1, 2026, says the History list in the Teams Calls app will expand from 100 records to up to 3,000 records or 6 months, whichever limit is reached first. Missed calls and their voicemails will also merge into a single entry. The rollout is scheduled for November 2026.

A second update lands in the same month. Users with more than one phone number will get a separate tab for each line, with its own history, voicemail, and recordings (MC1484013).

This guide covers where call history lives today, what changes in November, how long admins can look back, and what call history does not show.

Where to Find Your Teams Call History

Microsoft’s support guide puts call history in the center of the calling experience:

  • Desktop and web. Go to Calls > History. From any call, select More actions to call back, start a chat, add the contact to speed dial, or save them to your contacts.
  • Mobile. Tap Calls to see outgoing, incoming, and missed calls tied to Teams and your phone number, along with the dial pad and contacts.

Call history for phone calls depends on licensing. Microsoft notes that call history, the dial pad, and contacts are available with an Enterprise Voice or Business Voice license as part of your Microsoft 365 subscription. In practice, that means a Teams Phone license. If a user cannot see phone calls in History, check the license first. Our guide to Microsoft Teams licenses walks through which plans include Teams Phone.

What Changes in November 2026

Two Message Center posts change how the History list looks and how far back it goes.

3,000 Records or 6 Months

Today the History list stops at 100 records. For a receptionist, a sales rep, or anyone who works the phone all day, 100 calls can be less than a week. After the upgrade, Microsoft says history extends to 3,000 records or 6 months of activity. The cap is whichever comes first, so a heavy caller may hit 3,000 records well before six months.

Missed Calls and Voicemails in One Entry

Microsoft says missed calls and their associated voicemails will be consolidated into a single call history entry. Instead of a missed call row followed by a separate voicemail row, users see one item to act on. MC1485056 lists Teams desktop on Windows and Mac and Teams on the web, and says no admin action is required.

Per-Line Tabs for Multi-Line Users

Since the spring 2026 multi-line release (MC1261591), admins can assign up to 10 phone numbers to one Teams Phone user. Until now, calls to every line landed in one combined list. MC1484013 changes that for users with multi-line calling enabled:

  • A dedicated tab appears in the Calls app for each assigned phone line.
  • Call history shows under the line associated with the call.
  • Voicemails appear under the line where they were received.
  • Call recordings appear under the line associated with the call.

The feature turns on automatically for eligible users, and nothing changes for users without multi-line calling. The rollout was first planned for early October and moved to November. If you are still setting up extra lines, start with our guide to multiple phone lines on Teams mobile.

How to Remove a Call From Teams Call History

Users can hide individual calls. On desktop, go to Calls > History, hover over the call, and select More actions > Remove from view. On mobile, find the call, tap Info, then tap Remove.

Removing a call hides it on all of the user’s devices, but it does not erase the record. Microsoft says admins can still retrieve call data from removed calls.

Where Admins Find Older Calls

The History list is a user view. Admins have separate sources, each with its own lookback window.

The PSTN Usage Report

Microsoft’s PSTN usage report shows every inbound and outbound phone call, with the user, number, caller ID, operator, call type, duration, and cost. A few details matter for anyone reconstructing call activity:

  • Two tabs. The Calling Plans tab groups calls for both Calling Plans and Operator Connect. Direct Routing calls have their own tab with SBC and SIP details.
  • Date ranges. Pick 7 days, 28 days, or a custom range. Microsoft says reports usually reflect 24 to 48 hours of latency.
  • Call types tell you where a call went. user_in and user_out are a user’s own calls. ucap_in and ucap_out are calls to and from voice apps such as auto attendants and call queues. fmc_in and fmc_out are native dialer calls from Teams Phone Mobile.
  • Telstra is an exception. Microsoft says Telstra Calling Plan customers do not see call detail records in this report and need to contact Telstra.

Retention follows the user’s country, or the tenant’s country if the user has no location set:

CountryCalling PlansDirect Routing
United States and most other countries365 days150 days
Canada150 days150 days
United Kingdom450 days450 days
Germany180 days150 days
Italy and Mexico730 days730 days

Microsoft notes that these rules cover the admin center reports, data export, and the PSTN and Direct Routing call logs in Microsoft Graph. Call history shown inside Teams may be available for longer, and requests to delete that data go through Microsoft support.

The Microsoft Graph Call Records API

For custom dashboards, the call records API returns call and meeting records, plus dedicated PSTN and Direct Routing log rows. Microsoft’s FAQ says a record usually appears within 30 minutes of the call ending, can take up to 150 minutes, and is kept for 30 days. Requests for older records return a 404, so anything you need longer has to be exported on a schedule.

For recordings and transcripts that must be kept for legal reasons, call history is the wrong tool. See our guide to Microsoft Teams compliance and archiving.

What Teams Call History Does Not Show

Call history is a list of calls. A few gaps are worth knowing before you rely on it:

  • Native dialer calls on the phone itself. For Teams Phone Mobile users, Microsoft says calls from either app appear in Teams history everywhere, but the phone’s built-in calling app only shows calls made from that device.
  • Calls answered by an AI agent. Teams Phone Agent answers on a resource account. Microsoft tracks those calls through Teams Phone Agent historical reporting and a Queues app dashboard that is rolling out in public preview.
  • Text messages. Both November updates cover calls, voicemails, and recordings. Texts are not part of either change, so a customer who calls and then texts the same number still leaves two separate trails.

Frequently Asked Questions

How far back does Teams call history go?

Today the Calls app shows up to 100 records. Under MC1485056, rolling out in November 2026, history expands to up to 3,000 records or 6 months, whichever limit is reached first.

Why is my call history not showing in Teams?

Microsoft says call history for phone calls is available with an Enterprise Voice or Business Voice license, which today means Teams Phone. Check that license first.

Can I see call history for each of my phone numbers separately?

Yes, starting in November 2026. MC1484013 adds a dedicated tab in the Calls app for each line assigned to a user with multi-line calling, with that line’s history, voicemails, and recordings.

Can I delete a call from Teams call history?

You can hide it. Select More actions > Remove from view on desktop, or Info > Remove on mobile. The call disappears on all your devices, but Microsoft says admins can still retrieve the call data.

How can admins see older Teams calls?

Use the PSTN usage report in the Teams admin center. Records are kept for 365 days for Calling Plans and 150 days for Direct Routing in most countries, with longer or shorter periods in some countries. The Microsoft Graph call records API keeps records for 30 days.

Does Teams call history include voicemail?

Voicemail lives in the Calls app. After the November 2026 update, a missed call and its voicemail appear as a single history entry, and multi-line users see voicemails under the line where they were received.

The Bottom Line

Teams call history is getting a real upgrade in November: up to 3,000 records or 6 months instead of 100 records, one entry for a missed call and its voicemail, and a tab per line for multi-line users. No admin action is required, but it is worth telling your help desk and updating any internal guides before November.

For anything older, or for audits, use the PSTN usage report or export Graph call records within 30 days. And if the numbers your team answers in Teams also get texts, plan where those conversations will live. Book a demo and we will walk through it with you.
